Running a small business often means switching between customer enquiries, content planning and administrative work. ChatGPT can help produce a first draft, suggest options or organise text. You still need to decide whether the result is accurate and appropriate for your business.
Start with one familiar task where you can judge the quality. The following prompts are original practice examples. Use fictional information first, and replace the bracketed text only with information you are authorised to share.
1. Draft a customer enquiry reply
Instead of asking “Reply to this customer”, specify what you can confirm and what must remain open.
Draft a friendly reply of no more than 80 words to someone asking about [service]. Use only these confirmed details: [details]. Do not invent prices, availability or promises. Ask one follow-up question if necessary.
Check whether the draft actually answers the enquiry. Remove any unsupported claims and ensure the proposed next step fits your process.
2. Plan useful social media topics
Try separating content ideas from finished captions. That makes it easier to decide what your audience would find useful before writing.
Suggest six social media topics for a [business type] serving [audience]. Focus on common questions, practical tips and explaining our services. Present a table with topic, reader question and suggested format. Do not create testimonials or performance claims.
Choose one topic you can explain accurately. Add your own examples and brand voice before publishing.
3. Turn rough notes into a checklist
Many business processes already exist in someone’s notes. AI can help arrange those notes into a more consistent draft.
Turn these fictional opening-duty notes into a checklist: [notes]. Group them in a practical order. Preserve the existing instructions. Put unclear items under “Questions to confirm” rather than making assumptions.
Have the person responsible for the process check that nothing essential is missing. A well-formatted checklist can still contain an incorrect step.
4. Improve the clarity of a message
Rewrite this fictional supplier enquiry in clear, professional English. Preserve all quantities, dates and conditions exactly. Keep it under 120 words: [draft].
Compare the draft against the original. Small changes such as “requested” becoming “confirmed” can alter the meaning.
5. Organise ideas before a meeting
Organise these fictional planning notes into an agenda with three sections: decisions needed, information to confirm and next actions. Do not assign owners or deadlines unless they appear in the notes: [notes].
Use the output as a discussion aid. Confirm responsibilities with the team before treating them as agreed actions.
Make your instructions more useful
A practical prompt names the task, gives relevant background and specifies the output. If the first answer is too broad, ask for a shorter version, a different format or a revision based on additional facts. Treat the result as a draft to develop.
Check before using the output
Follow your organisation’s rules on AI use and data sharing. Start with fictional or non-sensitive material; do not paste customer records or confidential documents into an unapproved tool. Verify important facts, figures and commitments. AI output may be incorrect or out of date, and polished wording does not make it reliable.
